What problems does a company password manager solve?
A company password manager solves the problems that appear as soon as more than one person needs the same login:
- Passwords scattered in chat, email and spreadsheets, copied to every device and backup.
- One person’s phone holds the 2FA, so the team is stuck when they’re on leave.
- Leavers keep access because nobody knows which shared passwords they saw.
- Nobody knows who has what, or who changed a password last.
- Weak and reused passwords, because making a strong one for every account is tedious.
How should a company organise access?
Give each person the lowest access level that still lets them work. A common starting point:
| Who | Typical access | What they can do |
|---|---|---|
| Owner or admin | Owner | Manage sharing and settings for the item or folder |
| Team lead | Edit | Update logins when passwords change |
| Staff who need the password | View | See and copy the password |
| Staff, interns, contractors, agencies | Login only | Sign in through the extension without seeing or copying the password |
Organise logins into shared folders by team or client so access follows the folder. How to share passwords with teammates.
How do employees use it every day?
- A key icon appears in login fields; one click fills the right login, including two-step sign-ins.
- The extension notices which account a page is signing in and suggests that login. Shortcut: Ctrl+Shift+F (⌘+Shift+F on Mac).
- After signing in somewhere new, it offers to save the login; on sign-up forms it offers a 20-character generated password.
- 2FA codes for shared accounts fill or copy after the password.
- Touch ID or Windows Hello unlocks on trusted devices; auto-lock kicks in after idle time.
What happens when an employee leaves?
Guided offboarding removes the leaver’s access, hands over anything they owned, re-keys the remaining shared items and builds a checklist of passwords to change on each site. Every step is in the audit log. For the full process see the employee offboarding checklist.

Questions
What is a company password manager?
A company password manager is an encrypted vault where employees store and share work logins, with the company controlling who can view, edit or only use each password, and removing access when people leave.
What is the difference between a business and a personal password manager?
A business password manager adds sharing with access levels, shared folders, offboarding and an audit log, so the company, not one employee, controls shared accounts.
Can contractors use company logins without seeing the passwords?
Yes. With Login only access, BobWork Vault's Chrome extension fills the password for them but never shows or copies it.
Do employees need to install anything?
For autofill, they add the BobWork Vault Chrome extension (Chrome, Edge, Brave or Arc). The web vault at vault.bobwork.ai/login works in any modern browser, including Safari and Firefox.
How much does a company password manager cost?
BobWork Vault is free, including team sharing. For other tools, check each vendor's pricing page.
