How to share passwords with your teammates

The best way to share passwords with teammates is a shared password manager with end-to-end encryption, never chat, email or a spreadsheet. BobWork Vault is a free, zero-knowledge password manager for teams, made by BobWork (BobOffice, LLC). It lets you share a login with view, edit or login-only access and take it back in one click.

Why not share passwords in chat, email or a spreadsheet?

  • Messages and sheets are copied, forwarded and backed up — the password lives forever in places you don’t control.
  • You can’t take it back when someone leaves, and you don’t know who has seen it.
  • Everyone sees the full password, even people who only need to sign in.

Share a password in BobWork Vault

  1. Add the free Chrome extension and create an account.
  2. Save the login (or import your existing passwords).
  3. Open the password, click Share, and add your teammate’s email.
  4. Choose View, Edit or Login only. Login only fills the password for them without revealing it.
  5. For a whole set of logins, put them in a shared folder and invite people to the folder.

When someone leaves, guided offboarding removes their access and gives you a checklist of passwords to change. Every share is recorded in the audit log. How the encryption works.

Questions

What is the best way to share passwords with a team?

Use an end-to-end encrypted team password manager such as BobWork Vault, which shares each password with an encryption key wrapped for each teammate, so not even the provider can read it.

Can I share a password without the other person seeing it?

Yes. In BobWork Vault choose Login only: the Chrome extension fills the password for your teammate but never shows or copies it.

Is it safe to share passwords on WhatsApp or Slack?

No. Chat messages are copied to every device and backup, can be forwarded, and cannot be revoked. Share through a password manager instead.

How do I remove someone's access to shared passwords?

In BobWork Vault, remove them from the password or folder, or run guided offboarding, which removes access, re-keys shared items and lists passwords to change.
